Job summary

Workington GP Practice have an exciting opportunity for an enthusiastic individual to join us as a Practice Administrator within the newly merged, 5 site practice.  The role will provide dedicated day to day administrative support to the wider team and ensure all administrative and clerical requirements are provided in a timely and efficient manner.

Main duties of the job

· To contribute to the scanning and processing of incoming (paper, electronic and email) document flows

· To contribute to the scanning and processing of incoming (paper, electronic and email) document flows

· To ensure all relevant data is recorded in patient medical records using appropriate coding as directed

· Note summarising

· Tasks administration

· Management of the practice NHS net mail account ensuring all emails are actioned appropriately

· Identify the complex or higher risk areas that require input or knowledge from clinicians (including safeguarding issues)

· Registration of new patients onto the EMIS clinical system

· TO support the administration of medical and insurance reports

· Checking and logging new patient notes on receipt

· Dealing with the physical storage of patient notes

· Providing help and advice to patient enquiries directed to the admin team

· Manage clinical and admin consumables, to include tracking stock levels, reordering supplies, ensuring consumables are always available whilst minimising stock levels

· Dealing with tasks that clinicians may assign to you in an effective and timely manner

· Administration for town wide meetings

· Effective communication between staff, the practice, patients and other agencies

Duties will include, but are not limited to:

· General filing and other tasks associated with maintaining efficient administration systems.

 

· To provide cover for colleagues in times of absence for annual leave/sickness

 

Person Specification

Experience

Essential

  • Excellent communication (orally and written) and listening skills
  • Experience in use of IT systems e.g. MS Outlook, MS Word, Excel and the internet
  • Demonstrate good attention to detail

Desirable

  • Experience of working in primary care
  • Previous experience in Administration
  • Experience in a public facing role
  • Customer service skills
